How It Works - Clients
Overview
Your consultant may have referred you to appointmentrooms.com for an online consultation. As a client it is not possible to register with appointmentrooms.com unless you have been referred by a professional consultant.
When your consultant refers you to appointmentrooms.com you will receive an email with your login details. Once this email is received you can go to the home page of the website and login using the ‘clients’ login box on the home page.
Logged In
Once logged in, your diary page will be displayed with a list of available appointments. To book an appointment, choose a convenient time from those available. Please ensure you select a time that you are able to attend. Click on the 'Book' button on the right hand side, which will direct you to a confirmation page. Check all the details on this screen are correct and if so, click to proceed. You will be directed to WorldPay, our payment gateway.
Payment Confirmation
Once paid you will be taken back to a confirmation page. Here you can click to view your diary and the appointment you paid for will show up as booked. To attend the appointment, simply click the ‘Attend’ button next to the relevant appointment. Clicking the attend button before the appointment is due to start will open the chat window, but your consultant will not be online until the appointment is due to start. However, it might be useful to familiarise yourself with the chat window system prior to your appointment.
Attending Your Appointment
On the date and time of your appointment, please login to the diary page as instructed above and click the 'Attend’ button'. This will open the chat window. Type messages to your consultant in the lower pane of the chat window. The full conversation will appear above. Click on the relevant icons to activate audio and video. (You will need webcam / microphone equipment installed on your pc to use these functions).

Messenger Features
In the left hand side of the chat window there are icons to activate webcam and microphone features. Please note that these features rely heavily on your internet connection speed, and if it is not a broadband connection, you will find significant lag using them. If you have a high speed internet connection, and lag is still appearing, it may be a problem with your consultant’s internet connection, so please also take that into consideration.
Once you have finished your consultation simply close the chat window.
How it works – Subscribers
Overview
appointmentrooms.com enables professional consultants to carry out online consultations which can be booked and paid for by their own clients all via the web site. Subscribers to appointmentrooms.com benefit from their own personal, individually managed, online diary which allows clients to book future appointments / consultations. Subscribers also have the option of having their own customised web page featuring their own web address at a fraction of the usual set-up cost. Payments from clients are processed quickly and safely using appointmentrooms.com's secure, online credit card payment system ensuring prompt, automatic payment without the need to invoice.
Registration
Professional consultants wishing to offer online consultations via appointmentrooms.com must register and subscribe using the ‘subscriber panel’ on the home page. Cost of subscription is £40 per year.
Using appointmentrooms.com for the first time? To use appointmentrooms.com for the first time click on the ‘New User’ link on the home page and complete the simple registration form.
To complete registration you will need to make payment online using a credit card. By registering and paying the subscription fee, you will create your account with appointmentrooms.com.
Once you have completed the registration form, your application will be processed and when successfully complete you will be sent a confirmation email with your login details.
Logging in
When you receive your confirmation email, login using the Subscriber panel on the home page of appointmentrooms.com.
Logging in will take you to the Subscribers Control Panel. From here you can manage your diary, your clients and your details.
Appointment Durations
The first time you use appointmentrooms.com you must set ‘appointment durations’. This is the duration of consultations that you would like to make available to your clients. Click on the link to 'Update Durations'.
You have the ability to create up to four different appointment durations and specify the price that would like to charge for each. These durations can be updated at any time.
Once all durations are entered you can begin to manage your diary.
Your Diary
The diary displays one week at a time. Add available appointment times using the panel at the top of the diary page. Available appointments will be displayed in the diary below.The appointments sessions are now available to be booked by your clients.
Available appointments can be cancelled by clicking the cancel link next to the relevant appointment.
Clients
To carry out an online consultation you must add details of your client via the Subscribers Control Panel. Click on ‘Add a new member’ and complete all the details of your client. Upon completion your client will be sent their login details along with instructions on how to login.
Your client will then be able to login to view and book your available appointment times.
Appointment Bookings
When a client books an appointment, the status of the appointment will be marked as booked and you will receive email notification. You will be able to access and view the details of the client that has booked the appointment.
Attending Appointments
To attend the appointment with your client, view the diary page of the Subscriber login area and click ‘Attend’ next to the relevant appointment. The chat room window will open in a new window.
